  • FAQs – ACCOMMODATION DEPARTMENT

 

Here we try to answer some frequently asked questions; we have listed them in the alphabetical order. If you cannot find the answer to your question, send an email to the Accommodation Services Unit – ubytovani@suz.cvut.cz. Do not hesitate, your question might be also important for other students. Contact us and the answer to your question will soon be posted on this page. You can communicate with us in Czech or English.

 

  • Price for accommodation (dormitory fees) 

Students of higher education institutions accredited in the Czech Republic, who can prove their enrolment upon their arrival to dormitories, must pay for accommodation in accordance with the Dormitory Price List . Other accommodated students who finished their studies at Czech higher education institutions, candidates for studies, higher education institutions graduates, employees of companies cooperating with CTU, teachers from higher education institutions cooperating with CTU, accommodated students until the day on which the enrolment at a Czech higher education institution is physically proven must pay for accommodation in accordance with the Price List – Self-Payers

The ISKAM4 accommodation programme shows not only orders for requested payments but also the history of all previous ones. 

 

  • The following payments are typically required (example AY 2016/17): 

- a security deposit of 3,000 CZK (or 5,000 for internship or exchange students)
- 300 CZK insurance for the given academic year
- 150 CZK monthly advance payments for electricity (in dormitories equipped with meters) or in accordance with the List of Payments


- from the day of arrival to the dormitory until the departure day (min 30 days) accommodation is paid monthly, always by the 15th day of the month, in accordance with the respective price list of dormitory fees , self-payers, employees

- Other possible payments in accordance with the List of Payments 

 

  • Direct debit – how to set it up

     

Your first step will be to contact your economic manager to determine which limit should be set up for your direct debit (you should count the price for accommodation of 31 days + 150 CZK advance payment for electricity + possible additional payment for electricity + ...).

The second step will be taken in your bank (the bank must be in the Czech Republic). You will request a direct debit setup for payments to the account of CTU in Prague - SFA (hereinafter accommodation provider): 27-4082130287/0100, Komerční banka, a.s., branch Prague 6, constant symbol 0308, variable symbol to be received from the ISKAM4 accommodation system (in Basic Data). Set up the direct debit frequency to once per month with your bank!

The third step – you will enter your bank account number into the web interface and / or visit your economic manager whom you will notify in writing that you have set up the direct debit. The form for notification of setting up the direct debit payment can be obtained from the economic manager’s office. 

 

  • Internet, connection, payment

 Internet service in CTU dormitories is provided by dormitory clubs of the CTU Students’ Union. The usual price is 800 CZK per semester.

If you have paid for the Internet and are moving from one dormitory to another within CTU dormitories, you must inform the admin (students’ self-government of the given dormitory) in the new dormitory so that your Internet can be transferred to your new dormitory.

 

  • Who can be accommodated in the CTU dormitories? 

CTU typically provides long-term accommodation (30 days as a minimum) in its dormitories to adult students of CTU in Prague, of other Czech higher education institutions or of other schools or institutions (secondary schools, higher vocational schools, courses, etc.); furthermore, accommodation is provided to those who have finished their studies in Czech higher education institutions, candidates for studies, graduates of higher education institutions, employees of companies cooperating with CTU, and to teachers of higher education institutions cooperating with CTU.

  • Theft, insured events – reporting

 

• Upon identifying a theft, call the Police of the Czech Republic (158 – free of charge). Do not move anything in the room! After that, immediately report it to your economic manager and fill in the forms for the insurance company (during office hours).

• Upon identifying an insured event (=all insured events except for theft), immediately report it to your economic manager and fill in the forms for the insurance company (during office hours). 

 

  • Deadline for paying accommodation and any associated fees 

Payments of accommodation services and any associated fees shall be made by direct debit between the 10th and 15th of the current month (the payment to the account of the accommodation provider shall be credited by no later than on the 15th of the current month). It is also possible to use the new payment method, the GoPAY gateway. 

 

  • Arrival at the dormitory and necessary documents 

Documents necessary upon arrival at the dormitory:

ID card or passport, 1 ID photo +

- CTU students shall present their ID card for inspection (in disputed cases, they will present a valid CTU card or currently issued confirmation of studies). In disputed cases, the accommodated person will be charged the self-payer price until the valid CTU card is physically presented or current confirmation of full-time of combined (distance) form of study at CTU is submitted.

- Students of other higher education institutions must submit a current confirmation of studies upon arrival. If they fail to do so, they will be charged the self-payer price until such confirmation is physically submitted.

- Students of other schools must submit a current confirmation of their studies upon arrival. These students will always be charged as self-payers.

· Money (example - 2015)

- Prior to arrival at the dormitory (till 30 September 2015) a student shall pay the required security deposit by bank transfer to the account of the accommodation provider, always within the deadline stipulated in the Schedule of Accommodation for the current academic year (valid for allocating accommodation in the 1st round of allocating accommodation at the dormitory), or within the deadline that will be communicated to the student (email, SMS), (valid for allocating accommodation in further rounds).

- On the day of arrival at the dormitory a student shall pay for accommodation services and associated fees, including insurance, for the month of September (internship or exchange students for September and October) by bank transfer or at one of the collection points - so the period since the arrival date until 30 September 2015 (internship or exchange students until 31 October 2015).

- Prior to arrival at the dormitory after 30 September 2015 a student shall pay for accommodation services and associated fees, including insurance for the month in which the student started using accommodation, at any collection points or by bank transfer. (Payments for accommodation are not accepted at the dormitory).

To pay by bank transfer, students may use the fastest form of payment through the GoPay online gateway, directly from the ISKAM4 accommodation system.

  • Arrival at the dormitory - time 

Arrival at dormitories is only possible on weekdays during the given dormitory’s office hours. Office hours for regular dates of arrival at the dormitory and office hours of the first working day after regular arrivals are governed by the Schedule of Accommodation for the current academic year (2015/2016).

  • Arrival at the dormitory outside office hours 

Arrival at dormitories is only possible on weekdays during the given dormitory’s office hours. Arrival at dormitories outside office hours is only permitted for internship or exchange students at CTU within the arrival period for internship or exchange students, see the Schedule of Accommodation for the current academic year.

 

  • Postponement of arrival at the dormitory 

If you cannot arrive at the dormitory within the regular arrival period for the winter semester, see the Schedule of Accommodation, you can request postponement of your arrival at the dormitory, within the maximum time period specified in the Schedule of Accommodation for the current academic year, by emailing ubytovani@suz.cvut.cz. Such request must contain: in the subject ‘postponement of arrival at dormitory’, in the body – your full name, birth registration number (or date of birth for foreigners), request to postpone the arrival, to what date (it must be a weekday), signature. All requests submitted in a standard way will be accepted with the understanding that the accommodated person shall be charged, upon arrival, for accommodation from the last day of regular arrivals at the dormitory, in accordance with the General Terms of Accommodation. 

 

  • Security deposit, its amount and deadline for payment 

The security deposit primarily serves to confirm the interest in accommodation in the dormitory. Furthermore, it is a refundable deposit. If a student leaves the dormitory and returns the room in good order and meets the condition for terminating the Accommodation Agreement, they shall receive their security deposit in full. Students shall pay the amount of the security deposit stipulated in the Schedule of Accommodation

for the current academic year depending on the group to which they belong. The deadline for paying the security deposit can be found in the same document. 

 

  • Applying for dormitory accommodation 

Accommodation in CTU dormitories can be applied for NONSTOP – all year round.

Each applicant must fill in the application for dormitory accommodation (more info)

Applications for accommodation in dormitories are submitted only through web interface!

Applicants for accommodation in CTU dormitories apply for accommodation in the ISKAM4

accommodation system by logging in.

Applicants who on the day of their arrival at the dormitory are not of age, must submit a notarised affidavit of their legal representatives with a consent related to accommodation no later than on the day of the arrival at the dormitory. The affidavit is available in Czech, English and Russian at https://www.suz.cvut.cz/en/dormitories/information-and-documents

Applicants applying for accommodation in CTU dormitories due to extraordinary reasons (serious health, social and other reasons) shall first apply for accommodation in the dormitory via web interface and then submit their request to the Accommodation Service Unit (ubytovani@suz.cvut.cz). 

 

  • Why we send emails without diacritics 

We did not select this solution randomly. We had issues with diacritics in some cases, not only in case of foreign servers but also in case of clients. Some choose Czech to communicate with us but their mail clients and mail servers do not always support it. We even tried html but again, some mail clients do not like it at all. The most important is that our clients receive content of messages which is practically a selection of information available on our website (http://www.suz.cvut.cz/en/en) or web interface of our accommodation system (https://web.suz.cvut.cz),also available in Czech with diacritics, in English and Russian. Therefore, we have decided to use plaintext without diacritics when distributing information in Czech in our automated emails; this is somewhat uncomfortable but always readable with the highest chance of successful delivery.

 

 

  • Allocated dormitory x cancellation – resulting conditions

 Requests for cancellation of accommodation and simultaneous refund of the security deposit shall be sent to ubytovani@suz.cvut.cz, no later than on the last day of the regular arrival period – see the Schedule of Accommodation for the current academic year.

The request must contain: in the subject ‘cancellation of accommodation or reservation’, in the body – your full name, birth registration number (or date of birth for foreigners), request for cancellation or reservation and simultaneous refund of the security deposit, your account number and bank where you want money to be transferred, signature.

Such requests shall be accommodated with the understanding that the applicant shall be charged a cancellation fee of 500 CZK in accordance with the General Terms of Accommodation,Section E(6) and the List of Payments.

The rules for charging cancellation fees are governed by the applicable Accommodation Scenario for the current academic year and other associated documents.

Please note that we shall be sending any overpayments on the student’s account abroad only under the condition that the account balance exceeds the minimum amount required to be paid; the student is charged a handling fee for any payment abroad, see List of Payments

The required data for payments abroad can be requested from your economic manager. 

 

  • Allocation of dormitories (EVALUATION) - system 

Accommodation in dormitories is primarily allocated in accordance with the Accommodation Scenario for the given academic year and the General Terms of Accommodation. If you are allocated accommodation in accordance with the set rules, the ISKaM4 accommodation programme will first look for a place in your preferred dormitory. If the dormitory is fully occupied, the programme will look for an alternative dormitory. If that alternative dormitory is also fully occupied, the programme will allocate accommodation in a dormitory with a suitable available place for accommodation. If you were allocated accommodation in another dormitory, then there were no vacant places in your preferred dormitory. An evaluation shall be performed on the basis of time-based travel, see the General Terms of Accommodation.

If you receive information that your request for a dormitory has been satisfied PRELIMINARILY, it does not mean you have been allocated one of your preferred dormitories; you will be informed about the dormitory allocated to you in the next round of the dormitory allocation process.

Conditions you have to agree with and without which your application for accommodation in the dormitory cannot be submitted:

I declare that all information stated in the application (reservation) is true and I am aware of all consequences in case false information is entered. I will observe all provisions of the Accommodation Scenario for the current academic year, of the General Terms of Accommodation, and of the Schedule of Accommodation for the current academic year and furthermore, of the Accommodation Agreement, the binding instructions and documents of the accommodation provider and the internal regulations of the accommodation provider. If false information is entered, the accommodation provider reserves the right to exclude the application (reservation) from the list of applicants for accommodation in the dormitory. Wrong or incomplete and unsubstantiated applications (reservations) shall not be taken into account and submission of such applications does not have a suspensory effect. The accommodated person agrees that the accommodation provider can process their personal data in accordance with Act No. 101/2000 Coll., on protection of personal data and amendments to some related acts, for 10 years after termination of accommodation, including their birth registration number.

In both cases of submitting an application for accommodation in a dormitory – preferred dormitory, alternative dormitory – the allocated dormitory can differ from the two pre-selected dormitories. This is most often due to fully-booked accommodation capacity in the requested dormitories

 

  • Signing into the ISKAM4 accommodation system 

You can sign into ISKAM in the following ways:

1. The basic method is the sign-in used currently via the CTU usermap.

2. Applicants from CTU without a valid IDIS can still sign in using their surname and birth registration number.

3. It is also possible to sign in using the number of the application for studies and the password set by the user when entering the application on the CTU’s website, as new applicants for studies at CTU are accustomed to.

4. If you are not a CTU student or do not have access to the CTU systems or do not have a password to the accommodation system or you have forgotten it, you can request its new setup. In your request (sufficient by email) you must identify yourself by using your first name and surname, birth registration number or date of birth in case of foreigners and a registered email address. The data must match the data in the ISKAM4 system.

Upon successful identification, you will receive information to your registered email, with a link to access the system to generate a password. This link will be valid for 24 hours. After setting up your password, you will be logging in using your registered email and password you have set up.

Request – EMAIL can be sent from the registered email address to your accommodation manager or to ubytovani@suz.cvut.cz or iskam@suz.cvut.cz. It is also possible to make a request in person with the accommodation manager or at the Accommodation Unit. 

 

  • RESERVATION x APPLICATION 

RESERVATION for the next period – applicable only for persons already living in CTU dormitories.

APPLICATION for the requested period – applicable only for persons not living in CTU dormitories, or for those living in CTU dormitories who forgot to reserve their room in time. 

 

  • SINGLE accommodation in CTU dormitories 

‘Single’ accommodation in CTU dormitories is permitted only after processing all applications for accommodation for the given academic year. ‘Single’ accommodation for the period stipulated in the Schedule of Accommodation is permitted for the current year.

‘Single’ accommodation is fully under the authority of economic managers of individual dormitories. ‘Single’ accommodation is provided to persons who apply for it in writing (the application form is available from the economic manager of your dormitory) and who live on their own in a two-bed room, for 1.5 times the price of accommodation (see the Dormitory Price List or Price List for Self-Payers).

Single accommodation cannot be requested for 3-bed or 4-bed rooms!

If you wish to cancel ‘single’ accommodation, you must notify the economic manager in writing. The request has to contain your full name, birth registration number (or date of birth for foreigners), request for cancellation of ‘single’ accommodation and on which date the ‘single’ accommodation should be cancelled, date of request submission and your signature.

We have introduced the opportunity to include the request for single accommodation in the application for accommodation in dormitories. By marking it, you express your wish to live on your own for 1.5 times the price in a 2-bed room. We will satisfy your request most probably after regular arrivals at the dormitory. 

 

  • Moving within a dormitory/dormitories or block 

Changing rooms within one dormitory is possible after discussing the matter with the economic manager of the respective dormitory; changing rooms between dormitories is possible only after discussing the matter with economic managers of the respective dormitories. Moving accommodated students within all CTU dormitories is possible from the date specified in the Schedule of Accommodation for the current academic year (once per semester only).

If you have paid Internet in the previous dormitory, you must inform the admin (students’ self-government of the given dormitory) in the new dormitory about it so that your Internet payment can be transferred to your new dormitory. 

 

  • Accommodation without extension of accommodation for the summer months (additional reservation for vacations) 

Additional reservations of vacation accommodation can be made within the time limit specified in the Schedule of Accommodation for the current academic year and all accommodated persons must make such reservations via the ISKAM4 accommodation system. Only couples (man – woman) can make a reservation with the economic manager of the dormitory in which they want to live during vacations. 

 

  • Accommodation with a request for accommodation for the next academic year

 Make a reservation for the next academic year within the time limit and in accordance with the Accommodation Scenario for the given academic year (its publication is expected in the spring of 2016). 

 

  • Termination of accommodation in the dormitory or early termination of the accommodation agreement 

Collect the form entitled Notice of Termination of Accommodation Agreement in the office of your economic manager, complete it and submit it to the economic manager. A notice of termination of the Accommodation Agreement has to be given no later than 30 calendar days prior to the requested termination of accommodation. When departing from the dormitory, you will pay for all remaining accommodation up to the termination date of the Accommodation Agreement and, at the same time, you will be refunded the accommodation security deposit (if you do not give notice of termination and terminate accommodation, you will pay for accommodation until the date of your departure from the dormitory, but you will not be refunded the security deposit – this does not apply for the last 30 days of validity of the Accommodation Agreement, see below). If you want to terminate accommodation during the last 30 days of validity of your Accommodation Agreement, it is not necessary to give any notice of termination. In the last 30 days of validity of the agreement, you will terminate accommodation upon agreement with the economic manager and, upon your departure, you will be refunded the accommodation security deposit. 

 

  • Termination (suspension) of studies, but continuing accommodation 

All accommodated students of higher education institutions who terminate or suspend their studies do not have to terminate accommodation in the dormitory, but may request to change their accommodation to the self-payer form. The application for self-payer accommodation is available from your economic manager. You will complete the application form, specify the date of termination of full-time studies – to be substantiated with confirmation from your higher education institution – and submit the application to your economic manager. The economic manager has to comment on your application (whether you observed the Accommodation Agreement during the course of accommodation) and shall pass it on to the Accommodation Services Unit for processing. For those who observed the Accommodation Agreement over the course of their previous accommodation, requests for self-payer accommodation will be approved. 

  • Termination or suspension of studies 

If you submit confirmation of termination or suspension of your studies to the Accommodation Services Unit (Strahov Dormitory, block 1, offices 33a and b, Vaníčkova 7, Prague 6), you will be permitted to immediately terminate the Accommodation Agreement (without previously giving notice of termination) and, at the same time, you will be refunded the security deposit. Accommodated persons are obliged to resolve the aforementioned situations within sevenworking days, otherwise they shall bear the consequences of failure to fulfil this obligation; for foreign students, i.e. persons with permanent residence outside the Czech Republic, such situations have to be resolved no later than within one month. 

 

  • Variable symbol – payment identification 

When paying for accommodation and the associated fees, a variable symbol has to be specified. You can find it in the ISKAM4 accommodation system in your Basic Data (bottom left). More details on options for making payments can be found HERE and when using GoPay HERE 

 

  • Visa x accommodation

Foreign students from countries that require a visa who are currently accommodated in a CTU dormitory will obtain their confirmation of accommodation for the purpose of extending their visa in the Czech Republic directly from the economic manager in their dormitory. Your passport has to be presented as part of the request.

Foreign students from countries that require a visa who have made a reservation of accommodation in a CTU dormitory for the next period shall obtain their confirmation of accommodation for the purpose of extending their visa in the Czech Republic from the Accommodation Services Unit (Strahov Dormitory, block 1, offices 33a and b). Your passport has to be presented as part of the request.

Foreign students from countries that require a visa who have applied for accommodation in the ISKAM 4 accommodation system and, at the same time, request confirmation for the purpose of extending their visa in the Czech Republic or are only now requesting issuance of a visa for the Czech Republic shall tick off one of the options directly in the application for accommodation in the dormitory:

Those already in the Czech Republic are requesting confirmation of accommodation in order to extend their visa in the Czech Republic. The Accommodation Services Unit shall send the Document on Arrangement of Accommodation via the data box to the Ministry of the Interior of the Czech Republic and, at the same time, the information with a copy of the confirmation to the student using the email address entered in the ISKAM4 accommodation system.

Those who are only now applying for their visa in the Czech Republic shall state such information in the application and specify the embassy in their respective country where they will apply for their visa. If a student applies at an embassy other than on the ISKAM4 list, they are requested to include the required embassy by emailing ubytovani@suz.cvut.cz; the request shall include a full name, date of birth and the Czech embassy they will apply for visa at (country and city). The Accommodation Services Unit shall send the Document on Arrangement of Accommodation via the data box to the Ministry of Foreign Affairs of the Czech Republic and, at the same time, the information with a copy of the confirmation to the student using the email address entered in the ISKAM4 accommodation system.

In these both cases, the dormitory stated in the Document on Arrangement of Accommodation does not have to match the actually allocated dormitory at the time of allocating dormitories according to the time period specified in the Schedule of Accommodation for the given academic year.

You can pay with a bank card for a fee at the Masarykova and Strahov Dormitories. 

 

  • Defects - reporting 

Common defects in the dormitory are typically reported via the SFA’s intranet.

Every accommodated person may register on the intranet and report defects. If you are not yet registered, do so now. Accident = broken water piping, gas leak, power cut, broken window, etc. (to be reported IMMEDIATELY in the porter’s office / at the reception desk of your dormitory, or on the intranet). Common defect = everything else that is not an accident and can wait till the next day (to be reported via the intranet). 

 

  • Methods of payment of accommodation and any associated fees 

All options for payment of the price for accommodation (identical for students for the dormitory fee, self-payer accommodation and employee accommodation) are stated HERE 

 

  • Pets in the room 

You have to file a request entitled ‘Raising an Animal in your Room’ with the economic manager in your dormitory (the form is available from the economic manager), attach confirmation of a veterinary inspection and vaccination of the animal and present a written consent from your roommate with presence of the pet in the room. Such requests are always subject to the decision of the manager of the dormitory which cannot be appealed. If the request is approved, the accommodated person shall pay a fee of 50 CZK per month for the animal in the room in accordance with the List of Payments 

 

  • I am a student of a higher education institution accredited in the Czech Republic – can I use CTU canteens for student prices? 

Yes, it is possible after presenting a student certificate and registering into our CTU canteen payment system, see below.

 

· Is it possible to pay with an ISIC card issued by higher education institution accredited in the Czech Republic?

It is possible provided this card is first registered in our CTU canteen payment system. 

 

  • How can I register my card and which other terms apply (such as the minimal credit, etc.)? 

Registration shall be made at the main cash desk of the Studentský dům Canteen or in the Strahov Canteen (IT Department) and in the Podolí Canteen – cash desk. To register, you shall submit a student certificate. Subsequently, you will be registered in the CTU canteen payment system, including your card. The minimum credit is CZK 50. Orders are not possible in the CTU - SFA canteens. 

 

  • Where can I add credit to my card? 

Credits can be added at all canteen cash desks. 

 

  • Where can I find CTU canteens? 

The Podolí Canteen, Na Lysině 12, 140 00 Praha 4, 246 seats, about 600 boarders

  • Where can I find the menus?

· Why should I set up a direct debit rather than a standing order or one-time payment order?

The amount of dormitory fee changes every month (because it is calculated from the daily dormitory rate). A standing payment order can only be set up for one specific amount. If you pay through a one-time payment order, then you need to determine what amount you are supposed to pay every given month and you also have to watch for the due date. If you send an incorrect amount or pay the dormitory fee after the due date, you may be charged a penalty of CZK 25 / day. 

 

  • What amount of direct debit should I set up? 

It is important to set up a direct debit limit that corresponds to a dormitory fee for at least 31 days. If you use other paid services provided at the dormitory, you have to accordingly increase the direct debit limit. We recommend you set up your direct debit limit, equal to two months of dormitory fees. 

 

  • Can dormitory fees get charged to my account even though I no longer live in thedormitory? 

If you move out of the dormitory, you cannot be charged through the direct debit payment as you no longer live in the dormitory. You will always be charged only the dormitory fee for the current month. If you use other paid services provided by the dormitory, they will be added to your direct debit payment.
